The Four Clocks in Every Order
Every apparel order runs on four clocks, and only the middle two sit inside the factory. Confusing them is why delivery dates so often feel unreliable:
| Stage | What happens | Days |
|---|---|---|
| Sampling | Tech pack check, pattern, one physical sample with your artwork | 5 days |
| Bulk production | Cutting, sewing, finishing | 7 days on our hoodie line, up to 3,000 pcs |
| QC and packing | AQL inspection, pressing, packing | 1–2 days |
| Freight | Pickup, transit, customs clearance | Confirmed per shipment — see below |
The two clocks we control — sampling and bulk — add up to roughly two weeks. Everything after that depends on the freight mode you choose, not on the factory.
Sampling: Five Days Is the Standard
A physical sample with your artwork, made on one of our existing patterns, takes five days. That covers the pattern check, the sample itself, and the print or embroidery applied — not just a fabric swatch in an envelope.
What pushes it longer:
- A new pattern rather than an existing one — pattern-making and grading have to happen first.
- A custom dye lot — the mill has to run your colour before the sample can be cut.
- Special processes such as heavy embroidery, appliqué or garment dyeing — these take longer, and we tell you how much longer before you commit.
Bulk: Seven Days on a Dedicated Hoodie Line
Our Qingdao plant runs a dedicated hoodie line at up to 3,000 pieces a day. In practice that produces three different bulk timelines:
| Order type | What it means | Production time |
|---|---|---|
| POD blanks, in stock | Stock bases, printed on demand | 1 day per 3,000 pcs |
| Hoodie line | Sweatshirts, zip hoodies, joggers | 7 days, up to 3,000 pcs |
| Standard knitwear | Tees and lighter knits on standard runs | from 5 days |
| Cut from stock fabric | Your pattern, our stock cloth | 10–15 days |
These are production days. They assume the fabric is in house and the sample is already approved — not calendar days that include sampling or freight.
Where First Orders Actually Lose Time
Factory production is rarely the bottleneck. In our experience these five items are:
- Artwork revisions after sample approval — every change restarts either sampling or bulk, and it is the most common delay by a wide margin.
- Custom dye lots — the mill needs its own production slot, which adds days before cutting can even begin.
- Label and packaging approval — woven labels, hangtags and polybags come from separate suppliers, each with their own minimum and lead time.
- Payment timing — the line is scheduled after the deposit clears, not after the PO is sent.
- Peak season — September to November, and the two weeks before Chinese New Year, are when every line in the region is full.
Freight: Choosing the Mode
Freight is the only part of the timeline the factory does not control. The mode you choose changes the total by weeks, not days:
| Mode | Best for | Typical transit |
|---|---|---|
| Sea freight (FCL / LCL) | Bulk orders, cost-sensitive programmes | 25–40 days door to door |
| Air freight | Urgent reorders, mid-size volumes | 7–12 days door to door |
| Express courier | Samples, under 100 pcs | 3–7 days door to door |
A Realistic Calendar for a First Order
This is what a first order looks like when nothing goes wrong, starting from the day the deposit lands:
- Day 0 — Deposit received, tech pack locked. The line slot is reserved.
- Day 1–5 — Sampling. A physical sample with your artwork is made and shipped.
- Day 6 — Sample approved in writing, and labels confirmed if you are using custom ones.
- Day 7–13 — Bulk production on the line.
- Day 14 — AQL inspection, pressing and packing.
- Day 15 — Goods handed to the forwarder. The freight clock starts.
Lead Time FAQ
- How long does a hoodie order take from deposit to shipment? About 5 days for sampling, bulk from 7 days and 1–2 days for QC — roughly two weeks, then freight.
- Can you rush an order? Yes, within limits — in-stock POD blanks run at 1 day per 3,000 pieces. Tell us the target date before we quote, not after.
- Does Chinese New Year affect lead time? Yes. Factories in the region close for two to four weeks around the holiday, and capacity tightens for a month before it. Book before mid-December.
- What delays an order most? Artwork changes after sample approval, and custom dye lots — in that order.
- Do you commit to a fixed date? Yes. The ship date is written into the proforma invoice, and if anything threatens it we tell you the day we know.
